Invoices
Bill patients, split into installments, and export a PDF.
The Invoices page (under Patients in the sidebar) is where you bill patients. Each invoice links a patient, a set of line items, an issue/due date, and a status.
Creating an invoice
- Open Invoices and click New invoice.
- Search for the patient (by name or file number) using the keyboard-friendly picker — arrow keys to move, Enter to select.
- Add line items (description, quantity, unit price). The total updates as you type.
- Set the issue date, an optional due date, a status (draft / sent / paid / void), and any notes. The issue-date picker blocks past dates by default; tick Back-date to record a genuinely older invoice.
- Save. A human invoice number (e.g.
INV-1001) is assigned automatically.
Splitting into installments
Open an invoice and use Split into installments — choose how many (1–36) and temetro divides the total into roughly-equal amounts, one month apart from the issue date. The amounts always add back up to the exact total.
Downloading a PDF
Download PDF opens a clean, print-styled copy of the invoice and your browser's print dialog — choose Save as PDF to keep or email it. No extra software is needed.
Submitting insurance claims
When an owner/admin enables the claims integration (Settings → Integrations), opening an invoice shows a Submit claim button that generates an X12 837P professional claim and submits it to your configured clearinghouse, reporting back any 835 remittance status. See the integrations API.
Who can bill
Owners, admins, doctors, members, and reception (front-desk billing) can create, edit, split, and delete invoices. Pharmacy and lab staff have no access.
Invoices created from the AI chat carry an Added by AI badge so you can review them before sending. See AI safeguards.
